Period/Course Attendance

Schooltool can be configured using the Building School Level options under Maintenance>Attendance module, which contains settings that can be turned on and off to produce different behaviors based on the preference of your school, when it comes to how teachers can submit period/course attendance. 

Building School Level Attendance Options


The following settings only pertain to behaviors that relate to PERIOD Attendance (e.g. courses that are not scheduled into the "Daily Attendance Period" for a given building as defined in the Daily Attendance module in Schooltool under Maintenance>Attendance):

  • Allow Resubmit in Per Period Attendance:
     
    • Yes:  Use this setting to allow teachers to submit and re-submit their period/course attendance as many times as they wish during the school day.
       
    • No:  Use this setting, to allow teachers to submit period/course attendance only one time during the school day.  When the "No" setting is used, the "Submit" () button will disappear after the teacher clicks it one time.

       
  • Allow Tardy in Per Period
     
    • Yes:  Use this setting to allow teachers to see and use the option to mark students as "Tardy" to class (T).
       
    • No:  Use this setting to hide the option to mark students as "Tardy" to class.

       
  • Allow Known Absence in Per Period:
     
    • Yes:  Use this setting to allow teachers to see and use the option to mark a student with a "Known Absence" in class (K).
       
    • No:  Use this setting to hide the option to mark students with a "Known Absence" in a class. 

       
  • Allow Resolve of Period Absences:
     
    • Yes: this setting to allow teachers and/or attendance officers to resolve (provide a reason for) an absence, when submitting course attendance.

      When this option is set to Yes, an additional drop-down field will appear on the course attendance screen when a student is marked as absent, containing absence reasons that have been set as “Show on Submit Screens” under the Maintenance > Discipline > Discipline Absentee Reasons module.
       
    • No:  Use this setting to hide the option for teachers and/or attendance officers to resolve (provide a reason for) an absence when submitting course attendance.

       
  • Allow Resolve of Period Tardies:
     
    • Yes:  Use this setting to allow teachers and/or attendance officers to resolve (provide a reason for) a period tardy, when submitting course attendance.

      When this option is set to Yes, an additional drop-down field will appear on the course attendance screen when a student is marked as absent, containing any period tardy reasons that have been setup under the Maintenance > Attendance > Period Tardy Reasons module.
       
    • No: Use this setting to hide the option for teachers and/or attendance officers to resolve (provide a reason for) a period tardy, when submitting course attendance.

       
  • Combine Linked Courses:
     
    • Yes: Use this setting to automatically "cascade" the attendance that a teacher takes in a "parent" course (e.g. a Science Course), to it's "child" course (e.g. the Science lab) assuming that the two courses have been configured as "Linked Courses" in the Schooltool Course Catalog for a given building.
       
    • No:  Use this setting to force teachers to take attendance in both "parent" and "child" courses, even if the two courses have been configured as "Linked Courses" in the Schooltool Course Catalog for a given building.

       
  • Number of Days to show “New” student:  
     
    • Use this setting to specify the number of days that Schooltool will indicate to teachers that a student is "New" to a course (not to school), by displaying a “new” indicator next to the student’s name when the teacher views their course attendance screen.

       
  • Number of Days to show “Left” student:
     
    • Use this setting to specify the number of days that Schooltool will indicate to teachers that a student has "Left" their course (un-enrolled from), by displaying a “left” indicator next to the student's name when the teacher views their course attendance.

       
  • Number of Days for Attendance Flags:
     
    • Use this setting to specify the number of days that Schooltool will indicate to teachers that they haven't yet submitted attendance for a given class or homeroom, by displaying a "red flag" on the teacher’s home screen visible when they first login to Schooltool.

      A zero in this field represents only today, a one represents today and yesterday, and so on. A blank value in this field is the default setting, and will be treated as a value of 10.

      **Important Note:  The overall performance of Schooltool may be impacted for teachers viewing their home screen if this number is set too high, therefore we recommend that this value be left blank or set for no more than 14 days.

       
  • Allow Attendance in Supplemental Courses:
    • Yes:  Use this setting to allow teachers assigned to supplemental courses (e.g. those not assigned to a specific period, which most often are elementary courses), to take attendance in those courses.
       
    • No:  Use this setting to prevent teachers assigned to supplemental courses, from taking attendance in those courses.

       
  • Course Attendance Summary Delay:

     
    • Use this setting to specify the number of days to wait after an period/course absence is submitted, before allowing it to appear on the Course Attendance summary on the Home > My Home > Attendance tab on the Student Record, assuming that the “Respect Period Delay” permission has also been set in the appropriate "Security Group" for given users (e.g. the SMS_Parents group under Maintenance>User/Group>Groups and Security Tree).

      This setting is most useful in situations where attendance officers, disciplinarians and superintendents wish to take extra time to validate student course absences, before making them visible to parents via the Parent Portal.
