Finalizing a New School Calendar

The steps in this article can be used to finish the setup a newly created school year calendar. You will not be able to successfully complete the steps that follow, unless you have first created a new calendar.

  1. Use the “Year” field in the top left of the screen, to switch to the school year you will be working in (e.g. the next and newest school year)

  2. Click System Administration>Calendar>Calendar

  3. Change the “School” field that appears to right of the “Year” field, to display the desired Building if it doesn’t already appear



  4. (OPTIONAL) Modify the Name of the Calendar if needed, using the “Name” field then click Save

    **For Example: in some circumstances the name of the school will be longer than the character limit for the “Name” field – modify this field to make the display name of the calendar more clear when justified)

  5. Click the “Grade Levels” tab and make sure Grade Levels that display are still valid for the building and school year you are setting up




  6. Click the “Terms” tab and set the approximate dates for the Grading Periods – dates can be guessed or updated using the same relative dates from the prior school year terms for the building. You will send an email later to the school reminding them that these dates must be finalized before the new school year begins.




  7. Click the “Periods” tab and make sure the Periods that display are still valid for the building and school year you are setting up




  8. Click the “Days” tab and perform the following steps:


    • a) Click the “Day Reset” button


    • b) Set the Start Date to a date that represents Labor Day in September (or the first week day after) within the start school year


    • c) Set the “End Date” field to a date that represents June 30 of the year the school year ends within


    • d) Confirm that the remaining fields are set as shown below:




    • e) Click “Create Days

    • f) Use the “Calendar Navigators” to move the calendar forward to September of the current year, and verify that dates starting with the date you set in step #23B are “active” (appear in white) – if not retrace your steps




    • g) Click the “Day Rotation” button


    • h) Set the "Start Date" field to a date that represents the first day in the first week after the date you entered in step #8B


    • i) Set the "End Date” field to a date that represents June 30 of the year the school year ends within


    • j) Confirm that the remaining fields are set as shown, with the following exceptions:


      • Rotation Type – only set this to the MTWRF schedule, if the school truly has no specific “letter day rotation” (e.g. A, B, C, D days).

      • The “Starting Period Schedule” – this should be set to the first cycle day for the schedule (e.g. Choose Z if the school traditionally starts its year with a Cycle Day Z – odd as that may be).

    • k) <-- Click the “Assign Rotations” button

  9. Repeat the steps in this section until you have configured the New School Year Calendar for all of the remaining buildings (schools) in the district that need to be setup.
