Configuring Grade Book Data to Auto-Export to Schooltool

The following steps can be used to configure Schoology to automatically export grade book data to Schooltool.

  1. Click Tools>School Management

  2. From the navigator that appears on the left click "Export" to open the "Export" module on the right

  3. To the right click the "Auto-Export" tab as illustrated above

     
  4. Confirm that "Default SFTP Configurations" area contains information - this information is typically provided to you or setup for you by your Schoology Implementation Coordinator; if there is information here already DO NOT change it and continue to the next step, otherwise enter the "Host" you see in the image below then your schools Schoology SFTP username and password in the appropriate fields and then click SAVE to continue

  5. Below, look for the "Scheduled Import" called "gradebook" as illustrated below and single click it to view how it's been configured, otherwise click the "Export Process" button that appears in the center of the screen instead and continue to the next step

  6. Make sure that the first three fields have been configured EXACTLY like the following image, and if not modify the settings so that they appear as indicated below:

  7. Below click the "greater than" symbol ( > ) that appears to the right of the word "Schools" to expand that section, which will reveal a list of school buildings at your school

  8. Confirm that only the school buildings that you wish to export grade book data for are selected (checked) and if not check only the specific school buildings that you wish to export grade book data for (don't check the "District" as a whole if it appears - check only buildings)

  9. Below click the "greater than" symbol ( > ) that appears to the right of the word "Grading Periods" to expand that section, which will reveal a list of the grading periods that have been setup in Schoology under the "Grade Settings" module that appears on the left navigator

  10. Confirm that only the grading periods that you wish to export grade book data for are selected (checked) and if not check only the specific grading periods that you wish to export grade book data for - if you aren't sure which grading period to select, look at the dates for each grading period and only check those that have dates that fall within the current school year.

    **IMPORTANT:  This step must be completed at the beginning of each new school year in order for grade book data to continue to flow to Schooltool without interruption.

     
  11. Make sure that the next two fields are configured EXACTLY as shown below, and if not set the fields to exactly what's shown below then continue to the next step:

  12. Below click the "greater than" symbol ( > ) that appears to the right of the word "Column Headers" to expand that section, which will reveal a list of the fields that can be exported to Schooltool

  13. **IMPORTANT:  Make sure that ONLY the fields shown in the image below are selected (checked) and if not, modify the check boxes in this part of the screen so that they match the image below EXACTLY:

  14. Click the "Save" button that appears in the lower right of the screen to save your changes and to complete the steps in this article.

    **IMPORTANT:  if this is the very first time that the "Grade Book Auto-Export" has been setup in Schoology (none of the settings in this article were already set), you'll also need to send an email to schooltool@edutech.org to request that the "Schoology Grade Book Data Auto IMPORT" be setup in Schooltool so that teachers will automatically be able to see grades that have been imported from Schoology in their Schooltool Grade Book each day.

    You can also if you choose, manually import the file that Schoology will auto-generate into Schooltool if you prefer, on an as needed basis.
