Student Data

ConnectEd only allows contact information for up to two contacts in Schooltool (Person 1 and Person 2) to be automatically sent to it. Those contacts appear on the "Contacts" tab of the student record as illustrated below:

School's can modify whom appears in the first two positions of the "Contacts" tab in Schooltool, using this article.

The following table lists out the data that is provided to Blackboard Connect by the Schooltool Data Sync program, and provides a brief explanation of where each data item comes from in Schooltool (don't forget to read the "Special Exceptions" at the bottom of the page).

10

AdditionalPhone

Person 2's Phone 1: This is the Lowest Ranked Phone Number (e.g. Rank 1) for the students Secondary Contact (Person 2)

By default, this phone number will receive attendance calls in addition to the phone number that is sent in the "AttendancePhone" column (see row below).

However, this number can be omitted should the school only wish to have Person 1 get attendance calls, but by doing so you will reduce the "scope" of who can receive messages from ConnectEd.

For example: When the school sends Outreach Calls, only the number identified in the "PrimaryPhone" column will receive Outreach Calls (see row above) when the "AdditionalPhone" is omitted.

RefreshGroup

Students Bus Number and Day Indicator when the Schooltool Transportation Module is Used (e.g. FriPM Bus 36) - this data can be used in ConnectEd to send calls to students on a given Bus on given days.

Special Exceptions:

  • Address Information is automatically Omitted for Contacts where their address information is incomplete - in some situations only a state is entered for some addresses associated to contacts. If this is the case, the address for the contact is considered incomplete and will be omitted all together from data sent to ConnectEd.

In order for an address for a contact to be considered complete and then sent to ConnectEd, it must have street, city and state information.

  • Phone Numbers and Address Information that are the same for Person 1 and Person 2, will be listed only once in ConnectEd - in some situations, the phone number and/or address information for Person 1 and Person 2 will be the same in Schooltool.

This happens most often in situations where both contacts live at the same address (e.g. mom and dad live at the same address which really has only one phone number attached to it).

    For Example:

Michael Smith is a 3rd Grader at Mayberry Central. In Schooltool, his Father is listed as "Person 1", and his Mother is listed as "Person 2", all of whom live together in a house on Chestnut Street in Mayberry, NY.

=>Dad's records shows a home phone number of (123) 456-7890, and that she lives at 8420 Chestnut St, Mayberry, NY 123456. He also has a work phone on file of (123) 345-6789

=> Mom's record shows a home phone number of (123) 456-7890, and that she lives at 8420 Chestnut St, Mayberry, NY 123456. She also has a cell phone on file of (123) 789-1234

Because mom and dad live at the same address, and have the same home phone number, only the following for the student (Michael Smith) will then appear in ConnectEd:

  • Address:

**Hint: Notice how there is only one address showing above. This is because person 1 and person 2 have the same address in Schooltool, therefore only one address is sent.

This rule will appear to have been violated however, in situations where the address assigned to Person 1 does not EXACTLY MATCH that of Person 2 (e.g. Mom has 8420 Chestnut Street, where Dad has 8420 Chestnut St - Street and St are not seen by the system as the EXACT same address).

To correct situations like this, make sure that addresses are listed in Schooltool consistently (i.e. street is always either spelled out as "Street" or abbreviated as "St" with no periods). Consistency in addresses is VERY important because of this.

  • Contact Modes:

**Hint: the number following each "Type" above and in ConnectEd (i.e. home, mobile, work) identifies who the number belongs to. Work 1 above for example, came from Dad as he is "Person 1" in Schooltool.
